Patient dependent access

Use the Manage Dependents page to manage patients' access to their dependent's medical records. From Manage Dependents you can approve, update, and remove patient access to a dependent's medical record.

The Manage Dependents page includes 2 tabs: the Pending for Approval tab and the Approved tab. The Pending for Approval tab displays all patient requests for access to a dependent's medical record. From this tab you can approve or deny requests. The Approved tab displays all requests that have already been approved. From the Approved tab you can update or remove patient access to a dependent's medical record.

Both tabs display information about the patient, their dependent, and details about the submitted request. The table below describes the information that is displayed.

   
Requester First Name The first name of the patient requesting access to their dependent's medical record.
Requester Last Name The last name of the patient requesting access to their dependent's medical record.
Dependent First Name The dependent's first name.
Dependent Last Name The dependent's last name.
Dependent DOB The dependent's date of birth.
Dependent Email The dependent's e-mail address.
Expiry Date The date specified by the requesting patient for their access to their dependent's medical record to expire. If the requesting patient did not specify an expiration date and the dependent is below the configured age limit, the expiration date will automatically be calculated based on the dependent's date of birth and displayed in the column. If the requesting patient did not specify an expiration date and the dependent is above the configured age limit, this column will be blank.
Note icon Indicates that a note is included with the patient's request. Hover your mouse cursor over the icon to view the note in a tooltip.
Action Enables you to respond to the patient's request for access to their dependent's medical record.

Search dependant access requests

At the top of the Manage Dependents page are search fields where you can enter criteria to search for a dependent access request that is either pending approval or has already been approved.

About this task

The table below describes the search fields.
Field Description
User Name Enables you to search requests based on the username of the person who submitted the request.
First Name Enables you to search requests based on the first name of the requesting patient or the dependent.
Last Name Enables you to search requests based on the last name of the requesting patient or the dependent.
Email Enables you to search requests based on the dependent's e-mail address.
DOB Enables you to search requests based on the dependent's date of birth.

Procedure

  1. Enter search criteria in the search fields.
  2. Click Search.

    The search results are displayed on the appropriate tab.

Approve dependent access requests

After you have verified that a requester can be granted access to a dependent's medical record, you can approve their request.

Procedure

In the Action column on the Pending for Approval tab, click Approve for the request.

The requester is granted access to their dependent's medical record and the request is moved from the Pending for Approval tab to the Approved tab. The system automatically sends an e-mail message to the requester notifying them that their access has been approved.

Update dependent access requests

You can update the expiration date for when a patient's access to their dependent's medical records is terminated. When you update the expiration date, the system automatically sends an e-mail message to the patient notifying them that the expiration date has changed.

Procedure

  1. On the Approved tab, locate the request that you want to update.
  2. In the Expiry Date column, enter a new expiration date or select one from the calendar tool.
  3. Click Update.

    The expiration date is updated and the system automatically sends an e-mail message to the patient notifying them that the expiration date has changed.

Deny a dependent access request

About this task

You can deny a patient's request for access to their dependent's medical record.

Procedure

  1. From the Pending for Approval tab, locate the request that you want to deny.
  2. Click Remove.

    The patient's request is denied.

Remove access to a dependent's medical record

You can remove a patient's access to their dependent's medical record that has already been approved.

Procedure

  1. On the Approved tab, locate the dependent access that you want to remove.
  2. Click Remove.

    The patient's access to their dependent's medical record is removed.
